Finding Your Transcript When Your Massage School Has Closed

When filling out a state licensing application, you see on a requirement to provide “An Official School Transcript.” Not only that, but the “Transcript must be sent directly from the school to the Board office.”

Sometimes there are other requirements, like:

  • Sealed in Envelope
  • Counterfeit-Proof Paper
  • Embossed Stamp
  • On School Letterhead

However, you have one big problem with all of those requirements; your massage school has closed or been sold.

What do you do now? Who do you contact? Will your personal transcript copy be accepted by the state board?

The first thing I want to tell you is that massage schools close all the time.

All. The. Time.

Your situation is not uncommon.

The good news is that in helping thousands of people obtain massage licenses in other states, I have only talked to a handful who have never been able to track down their massage school transcript.

Sometimes it takes a lot of research, countless phone calls, and emails; but it can be done.

Here are just a few examples of emails I have received with situations that may be similar to yours, as well as some of my suggestions on what you can do next.

  • “My school closed in 2015 and was sold to someone else and changed names. I am moving to Texas now and need a transcript. Who do I contact about sending my transcript to the board?”
  • “My school closed down years ago, and the school that took over after closed down too. Who do I contact to get a copy of my transcript?”
  • “My school closed due to the owner passing. I heard from another classmate that our records were sent two people. They did not know who those two people were. Do you have any suggestions to find my school transcript?”

What happens when a school closes, or is sold?

Part of the money you paid for your tuition is for the peace of mind that when you need proof of your education, the school would be able to furnish that for you, whether it is open or not.

When schools close, or are sold, the generally accepted practice is for the school to make arrangements for all of their past student records. This person may be called a keeper of the records or records custodian. A records custodian may be:

  • A new school owner
  • A former owner
  • A former employee
  • A state department of higher education
    • Just a note: Public schools have more requirements about what must be done with the records. However, most massage schools are/were private. This makes tracking down records harder.
  • The state-licensing agency, such as the state board of massage where you went to school

You may need to track down old classmates, search for names on Facebook, or make phone calls to your state board office, but the above are the best places to find out where your school records are located.

I have a copy of my transcript, can I just use that?

Sometimes. It largely depends on the State board.

I most commonly work with people moving to Florida. Florida only accepts transcripts sent directly from the school, or the person that holds the records for that closed school. I have heard just a couple of instances in Florida where they have accepted sealed (only sealed) transcripts from the applicant when every effort has been made to find records from their school.

Other states may be more lenient or stringent on this rule. If you have any questions about what a board will or will not accept, do not be afraid to call or email the State’s massage board office. Like I mentioned, they deal with closed schools regularly.

Places to Look for Your Transcript

To help you get started, I have just started to put together a list of a few specific states that post contact information for closed schools in their state. Some lists are for all schools (nursing, massage, cosmetology, and technical colleges).

Florida

  • For private schools please contact the Commission for Independent Education at 850-245-3200. Transcript Request Form
  • For public schools, please contact the Department of Education at 800-445-6739.

Illinois

Are you ready to search, but don’t see your state listed above or in the comments below? Leave a comment on this post and I would be happy to look and add it to the list.

I have one more suggestion.

When you graduate, or eventually find your school transcript, ask for an additional copy of your transcript and have it sent to you. Do not open it and keep it somewhere safe. I have one and it cost me $5. I likely will never need it, but it gives me a little more peace of mind.

    Hello I went to Alta Massage College in Redondo beach CA. In 2002-2004. Moved out of state in 2008 (was working with doctors during 2002-2008) when I moved back at the end of 2015 I tried to get my transcripts from the school but it had closed and the director has since passed away. When I call the BPPE they find the school and director but there are no records for any students. I am trying to start my own business and it seems I need to be CAMTC certified to obtain a business license. Do you have any suggestions?

    Back in 2000 to I went to school for massage therapy Agape school of massage at the Eureka Spa in Eureka California the teacher there was the owner and also the teacher she allowed me to use my cosmetology license and work for her in the spa and go to school for massage therapy. As it would pay for the schooling I did over in the 2 years I worked there and had 2,000 hours. that is on a variety of techniques. After finishing the class over several weeks. She sold the spa on my vacation and when I came back she was no longer there and I had no certification for doing all these hours at school and paying for it. But it was taken out of my checks. And I have found her since then and asked for the license and she wanted me to do a couple of hours of massage on her to just see how I’m doing. And then denied me my certification I don’t know what to do in this process I should have done something sooner but I had a job offer and I would love to have that license I’ve been doing massage since then in and out of home and friends and family as a professional I don’t have my certificate what can I do to change this.?

      This seems like a really unique situation and I am not sure what would be best for you to do. Have you contacted CAMTC.org? I would start there.

    Hello, I studied at a2Z health massage School in Santa Monica, CA that is most likely going to close. Any idea where I could find my transcripts? I’ll probably have to get in touch with CAMTC. A bunch of my other classmates are concerned we’ve put in all of this time & money for nothing. a2Z sued CAMTC for discrimination against foreign students, CAMTC put them under investigation after my school won the first case, but now it seems the school might shut down & I don’t know what to do. I e-mailed some of the directors at the school to get more information. Haven’t heard anything yet. My classmates & I may have to start our own class action suit if we don’t receive transcripts/a refund. We’ve all interned in their clinic too, so basically we were used for free labor. Any help would be appreciated.

      I would get a copy of your transcript from the school as soon as possible for any completed hours. Ask for a copy and one in a sealed envelop.

        Thanks so much for the info you share…I hope you can help me! I graduated from Mueller College of Holistic Studies and now they are closed, I can’t get any of my transcripts so I contacted CAMTC and they told me: “CAMTC will send an electronic copy of a document from my school. The fee for this request is $125 per document.

        NOTE: we cannot mail documents, only email.
        The payment is made through an online PayPal invoice that is emailed to you should you wish to proceed.”

        I find it absurd that I have to pay that much for a copy of my transcripts, is this legal?? Not even the university I attended and community college charged this much for a copy!

        I also found an ex employee from the school who told me that when the school closed, there was no custodian of records left, not to mention that my certificate was never sent to me. I’m really sad about this…I don’t know what to do now; I live in another state now (AZ) and might just have to start over?? 💔
        It’s so sad that no records were saved 🙁

          $125 does seem crazy. About 15 years ago, I requested transcripts from my school and it was $5 (also that was in Iowa).

          I researched the school and former owner and was not able to find anything. California does not do a great job of recordkeeping for education, unfortunately.

          With that information, you may just need to pay CAMTC the fee to do the research and get the transcript to the AZ board if it is requested. Have you contacted AZ about your situation? If not, I would start there. They may just need a license verification if your CA/CAMTC certification is still active.

    I am needing to get my massage therapy transcript from the National Institute of Massotherapy in Akron, OH – the school closed back in February 2017. I have been looking online and cannot find how to get a copy of my transcript. Any recommendation you can provide would be appreciated.

    Hello!

    I am wondering if you have any information on Oklahoma. Heritage College closed quite sometime ago. I graduated in 2006 and am looking for my transcript. I tried looking at the previous comments, however, did not find anything for Heritage in Oklahoma City. At that time, we did not need a State Board for certification but I believe that is the law now. We had to license through the health department. Do you think the Health Department might have my old copy? Thank you

        I went to the Virginia School of Massage and completed the program in 2007. Do you have contact info for Virginia you could pass along? This year NCBTBM is requiring a State VA license through the Board of Nursing before they will renew my license. Any info you may have would be great!

I graduated in 2000, and now the school is not only shut down, but because they didn’t register with the California Massage Therapy Council, there is no record of my transcripts. I have followed a trail of phone numbers and contacts, and I have hit a dead end. Do you have any suggestions?

    Hello, I’m so happy I found this page. I am trying to find my transcripts for a massage school I went to in California called Northwestern Technical College. It was later switched to Bryan College in Gold River, California., but I can’t seem to find anything other than dead ends. Any suggestions on where to look? I graduated in 2004 so it’s been a long time, but hopefully there’s record somewhere.

    I recently moved back to the states from Canada where I lived for 21 years. I am now in Kentucky. I received my massage practitioner certification from Twin Lake College of the Healing Arts in Santa Cruz, CA. which was an accredited school. The school was closed in 2012. I need to get my transcript so I can apply for my license in Kentucky. Are you able to guide me in the directions needed to do so?

      I am trying to get a copy of my transcripts from the ‘Michigan School of Myomassology’ it was located in Berkley, MI.
      I graduated in 2008 and I believe it closed in 2011.
      I have spoke with the organization LARA referred me to, where all transcripts are sent I was told.
      However they have none for the school I attended.

    I am trying to locate my transcripts from Educating Hands school of massage in Miami. They have been closed since 2019, and it seems almost impossible to retrieve my records in order to apply for massage license reciprocity in another state. Does any one have similar problem, or perhaps, ideas how I can solve this issue?

    Is there any chance you might know who to contact to get transcripts from Michigan School of Myomassology in Berkley, Michigan? They closed and I graduated way back in 2002 I believe. I’m not sure what year they closed but I believe it was before 2010.

    Hi,
    I have a New York license since 1999. I just moved to Virginia and would like to practice here. My massage school Healing Hands Institute in Westwood, NJ closed down a while ago. I have my transcripts, but Virginia wants them from the school. Any suggestions on how to get them? Also they will not accept my NY license. I must have MBLEx or NCETMB test results. Is there anyway of being grandfathered in by MBLEX or NCETMB since I have been a practicing therapist for 24 years.

      Some states are very particular about exams and do not accept state exams. I see this a lot with NYS licensees who move.

      As far as transcripts… I would try to contact former instructors, owners, etc and see who the records custodian is. They should be able to send a transcript to the board for you.

    Hi. I graduated from institute of natural therapies in St. Ignance Michigan. This school also had a location in the Houghton/ Hancock Michigan area. I have my transcript but Mblex won’t except it. Unfortunately I paid the money and then did my research and my school must have closed. The instructor was Hal Rudinani and I can’t reach him or the institution. If you have any suggestions??? Thank you! You have so much helpful information. I would like to purchase the 3 or 6 month study guide.

    Hello,

    I attended Allied College in Maryland Heights, MO, from 2006-2007. I have contacted Missouri Dept of Ed and Dept of Higher Ed, they sent me to a Florida Clearing House with a number that no longer works. I managed to track down another number and email and had no response from either. I did massage in Illinois for 15 years (IDFPR was unsurprisingly no help at all) and moved to Oregon. Naturally, Oregon requires transcripts for everyone who hasn’t been grandfathered in. Any ideas for me?

      I have no idea why they would send you to Florida for a MO closed school! That does not sound right at all. I would contact them again, they may have thought you went to school in FL instead of transferring a license to FL.

      Texas is a fairly common request for closed schools. I have a few suggestions in the comments.

      There should be a link to the higher education department and the massage board (TDLR). You can always call the massage board and ask where to find a list of the record custodians. If not, try to find some old owners or employees of the school. Hopefully one of them knows.

    I went to Seattle Massage School in 1996. I was able to get my transcripts through ECMC but Nevada board needs my diploma/certificate, which ECMC can’t provide. I’m licensed in WA, CA, and MI. Michigan and California didn’t ask for it. Washington board has tried to no avail. Any ideas?

        OMG, this is so helpful. I am literally in the same boat and went to the same school in 2000, only it changed its name to Ashmead College. I moved to Hawaii and this state has its own regulations and I need to retake the state exam. In addition to needing an official transcript from Ashmead College, I also need to prove the school was accredited when I was matriculated in the program. Please, help! If there is any insight that you can provide regarding school accreditation, I would greatly appreciate it.

    Hello, I went to school in Indiana in 1999 and finished with my certification. I worked 5 years there before moving to Florida.
    Like many my school closed in 2008 due to the owner dying of cancer. Half of the certifications were lost and the state could not find them. My certification got damaged in the hurricane of 2005. I do have my transcripts which show I had over 700 hours although they do not show how many hours of each class I have had. I would like to return to do massage but have searched everywhere with no avail to finding a way without having to go back to school for another certification. I am at a loss. Could you help me find a way? Thank you.

      Which state are you applying to? Anything you have as far as documentation may help. I am assuming that Indiana did not have licensing at that time. Did you take the NCETMB or any other licensing exam? Even those records could help. You may need to speak to the board at a board meeting and bring all of the evidence you may have for your education. I would do that before I would consider going back to school.

    I graduated from American Institute of Massage Therapy in Kailua, Hawaii in 2001. Wondering if you can help me obtain my transcript ? I obtained my license in Hawaii in 2001 and moved to Colorado in 2012, where i obtained my license by endorsement. I let my Hawaii license expire in 2014 as i wasn’t going to be working there anymore. I am able to obtain my original licensing through the professional and vocational licensing search website.       Yes, a board-approved licensing exam is required for a Florida license (I also own FloridaMasssage.com and have helped thousands get licensed there).

        I also need my transcripts from Texas. Tdlr destroys all transcripts after 5 years . They do not even keep a digital record. I’m trying to get mine transferred to Georgia. Both schools I went to closed. Austin school of massage and alternative body care in wAco. I have both original transcripts but the will not except them from me

          I would start trying to find the keeper, or custodian, of the records for each of those schools. Each school should have someone that has your records other than the TDLR.

    Hi – clearly there are a lot of people with this issue. I went to Body Electric School of Massage and Rebirthing in 1989.     Hello Ivy. I have been a massage therapist in New Jersey for 5 years and I just moved to Miami. I need to transfer my license but my school closed a few years ago and I don’t know where to start because nobody has information on where I can get my transcript….. Hopefully you can help me.       NJ may be harder since they did not regulate massage and their schools did not have to be approved for so long.

      Also, really try to find those old school contacts to see who may have the copies.

        I did get my transcripts from a third party but Florida board of health said I need to get directly from school or contact nj department of education and they don’t have that.

I am trying to locate a number because the transcript has to be sent directly to fsbmt for me to sit and take my test. I tried multiple ways to send it, it can not come from me the applicant it has to come from my school that has been shut down.

    I attended the Big Island Academy of Massage in Hilo, HI and graduated in 2009. Sometime after that, the school was sold and a couple of years after that it closed. I am relocating to Washington state and need my official transcripts which have been incredibly difficult to find. Any suggestions?

    I relocated to the PNW from Texas. My Texas massage license lapsed 1 year ago. My massage school in New Mexico closed.
    Body Dynamics School of massage in Albuquerque.
    I will need transcripts to be licensed in Washington or Oregon.
    Can I contact Texas licensing and maybe they can help or how to I find my transcript from the school in New Mexico?

    I graduated massage school from miami Jacob’s in Dayton ohio in 2015. The school closed in 2016 and I have no idea how to get my transcripts. I’m licensed here in ohio but plan to move in the next year or 2.

    My school, Heritage Institute, had multiple locations across the country that closed in November of 2016. My particular location was Falls Church, VA. I’ve searched a few sites online and seem to have hit a dead end. Could you lend me some assistance, at least where I can pick back up my search?

    my schooled closed down in November and the head massage instructore said she sent my application package to CAMTC so i called and they do not have it only thing they have is my live scan my school is fully paid off through the9/11 gi bill and there’s no way contacting my ex instructor or the school.

I am trying to open a new business and live in Virginia now and I am on a time crunch! They said I can’t send a copy of my transcript personally but only from my school. Please help! Aundria
